MULTI-FACTOR AUTHORIZATION SETUP INSTRUCTIONS FOR OFFICE 365

Let’s get your Microsoft Office 365 set up with Multi-Factor Authentication

This page will walk you through the process of enabling Multi-Factor Authentication (MFA) for your Microsoft Office 365 account.

The instructions are broken down into two parts. Some steps require alternating between your mobile phone and the computer, so please have your phone handy.

Icons are used to assist you in identifying the correct device to use for each step:  

This  icon indicates that the step must be performed on your mobile phone.

This  icon indicates that the step must be performed on your desktop computer or laptop.

Before you Get Started:

Please have the following information and items available before you start: 

  • Company Email Address:  yourname@companyname.com
  • Password:  login password for your Office 365 mailbox. Note: In most cases, this is the same password you use to login to your computer
  • Computer or Laptop:  to access your https://office.com via a web browser 
  • Mobile Phone:  to host the Microsoft Authenticator app, and a mobile phone number for additional security options

Part 1: Download the Microsoft Authenticator App to your Mobile Device

The Microsoft Authenticator app will be used to secure your account with an additional layer of protection. The app is available for free on both the Apple App Store and Google Play Store.

Note: If you cannot/prefer not to have the Authenticator app on your phone, please submit a support request for assistance.

1.  To install the app on your phone:

Either: Open these instructions on the browser on your phone, and click the appropriate button below to find the correct apps on the Apple App Store or the Google Play Store

Or: You may navigate to your phone’s App Store and search for Microsoft Authenticator Note: Especially in the Apple App Store, there are MANY very similar looking apps that will pop up in your search. DO NOT BE FOOLED! Make sure you select the MICROSOFT Authenticator.  (The others technically will work – but they will charge you to use them, and the Microsoft app is free!)

2.  Download the app to your phone.

3.  Once download is complete, a new icon will appear on your phone called Authenticator.
       We will use this Authenticator app in Part 2.

Part 2:  Access Office 365 User Account

1.  Using your computer, open an InPrivate/Incognito/Private Window tab in your browser and navigate to https://www.office.com/ 

2.  Sign Into Office 365 online with your company email address and password.

3.  Click Next to continue.

 

4.  You will see a prompt stating More information required.

5.  Click Next to continue.

6.  You will then see a page stating Keep your account secure with instructions to start by getting the app.

We completed this during Part 1 so click Next to continue.

7.  You will be promoted to complete Method 1 of 2: App.

8.  Click Next to continue.

9.  Open the Authenticator app on your mobile phone. If prompted, allow notifications. Then Add an account and select Work or school account.

10.  Select the option to Scan a QR Code.

11.  Use your phone’s camera to scan the QR code shown on your computer screen.
12.  Click Next on your computer to continue.
13.  On your phone, an Authenticator notification will request approval. Select the option to Approve.
14.  On the computer, you will see confirmation of the approval. Select Next to continue.

15.  You will be prompted to complete Method 2 of 2: Phone.

16.  Verify your country.

17. Enter your mobile phone number, area code first.

18.  Select the option to Text me a code.

19.  Select Next to continue.

20.  Check your phone for a 6-digit code sent via text/SMS message.

21.  On the computer, enter the 6-digit code sent to your mobile phone.

22.  Select Next to continue.

23.  You will see confirmation that your Phone was registered successfully..

24.  Select Next to continue.

25.  Success! You should see this verification screen.

26.  Select Done to finish.

CONGRATULATIONS! Your account is now protected with Multi-Factor Authentication.

What happens next?

You will receive a mobile notification to approve any login attempts. This ensures your account stays secure in the event your password is compromised. Hackers will not be able to access your account without approval from your mobile phone.

 

IMPORTANT: Only approve sign in attempts initiated by you. You must Deny any requests not initiated by you. 

Frequently Asked Questions

Question: Do I have to use the mobile Authenticator every time I log in?

Answer: Depending on the service or device, you may be given the option to Stay signed in. Select this option to minimize the number of times you will be prompted to approve the sign in request.

Question:  Someone else is trying to access my account. Should I approve the request or provide them with the 6 digit text/SMS Code?

Answer:  Absolutely not. No one else should be using your account. If the person asking you to authorize or provide the code is:

  • A co-worker:  kindly inform them that they must use their own account.
  • A stranger:  stop all contact with him/her and call Soteria at 316-448-7944.


IMPORTANT:   No one should be calling you or asking you to approve or provide a Text/SMS Code. Not even us!
